Privacy Statement

We collect only the personal information necessary to evaluate your application and to maintain your member record (e.g., name, contact details, professional credentials). We gather this information by fair and lawful means and solely with your consent.

2. Purpose and Use
Your information is used to:

  • Process your membership application and communicate updates,

  • Administer membership benefits (e.g., educational notifications, events),

  • Meet legal or operational requirements as a professional society.
    We do not use your information for purposes beyond those disclosed.

3. Consent
By submitting your application, you expressly consent to the collection, use, and disclosure of your personal information for the purposes described. You will be informed in writing before any new purposes arise.

4. Withdrawal of Consent
You may withdraw your consent at any time by contacting our Privacy Officer. We’ll explain any effect this may have (e.g., inability to process your application). If you withdraw, we will stop further use/disclosure except as required by law.

5. Disclosure to Third Parties
Your personal information is disclosed only to:

  • Society staff and designated volunteers involved in membership administration,

  • Third-party service providers (e.g., payment processors), under contracts limiting their use to our purposes, unless additional disclosure is required or permitted by law.

6. Access & Correction Rights
Under PIPA, you may request to see and correct your personal information. Requests must be in writing and will be answered within 30 business days, at minimal or no cost. If corrections are refused, we will attach your request to your record.

7. Security Measures
We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, or disclosure.

8. Retention & Disposal
We retain your personal information only as long as necessary to fulfill the stated purposes, after which we securely destroy or anonymize it.

9. Privacy Officer
Our designated Privacy Officer oversees compliance with this policy.

10. Complaints
If you have concerns about our handling of your personal information, please contact our Privacy Officer. You may also file a complaint with the Information and Privacy Commissioner of BC.
